Your mission
We are currently looking for a Facilities Associate/Receptionist to join our Amsterdam office for an initial period of 5 months.
Responsible for supporting the administration elements and duties of the Facilities team as well as providing support for the Reception services. The balance of the role is approximately 60% on administrative and 40% on Reception duties.
What you will do:
Facilities
- Assist with the set up of rooms for training, meeting, hospitality, local events etc. ensuring the rooms are available and set up according to customer requirements.
- Maintain Facilities storage areas to ensure safe and proper control of company assets/Inventory
- Maintain correct car parking allocations, record and support visitor / other office parking requirements
- Support the building Security systems, administer badges, maintain system details and integrity
- Assist Facilities team to prepare budgets and forecast information, checking accuracy and highlighting any discrepancies and/or concerns
- Assist with the administration of local Insurance details and claims handling.
- Support and act as point of contact on all Vending, Catering, Hospitality & Free Issue supplies to support the business
- Support the business by ensuring local, proper document archive services are available to the business.
- Administer the local Key Holders lists ensuring latest accurate data is available. Assist as applicable with the Premises Open & Closing programme, maintaining accurate records of procedures and issue logs.
- Create purchase orders within SAP for vendors
Reception
- Meet & greet guests/visitors, ensuring proper recognition; registration & allocation of appropriate badge/access control; prompt call to Epson host; basic introduction to the floor facilities; drinks offered & be available to answer any questions
- Provide prompt and appropriate Telephone/Switchboard services, including message taking, call transfer or answers to enquiries
- Deal with Reception email and fax correspondence ensuring answers or redirection as appropriate
- Support proper meeting room bookings and arrange hospitality as requested
- Handle accurate distribution of incoming and outgoing letters and parcels via appropriate services, maintaining accurate records for tracking and invoice processing
- Ensure accuracy of the phone system information with regular updates and routine audits
What we ask for:
- Ability to work to agreed deadlines
- Previous experience working in a Front of House capacity
- Some administrative experience
- Experience of working within a multinational company and understanding international business environment
- Some knowledge of Health & Safety legislation, procedures and working with them will be advantageous
- Previous experience of SAP / SAP BW highly desirable
- Good Microsoft Office skills, in particular Excel
- Excellent interpersonal and written & verbal communication skills
- Fluent in Local Language & English Language, written & spoken
