Your mission:

As a Project Management & Tender Support Specialist, you will coordinate and manage all necessary materials for the successful execution of tenders, with a focus on public tenders (VOL, VOB).

Acting as the right-hand support to the Manager Sales for the Corporate End User Sales Team (CEU), you will ensure the accurate, complete, and timely processing of tender documents up to the submission stage.

You will also serve as a strategic interface between all relevant departments, overseeing tender and project processes from inquiry to rollout.

 

What you will do:

  • Tender Process Management:
    • Gather and request essential data from end users
    • Classify tenders and assess their requirements
    • Collaborate with Senior Tender Specialists and Sales teams to create project plans
    • Work with internal departments to meet tender specifications
    • Collect and organize necessary documentation (e.g., certificates, technical specifications, manufacturer statements)
    • Prepare and finalize tender documentation
    • Submit and track tender questions
    • Coordinate product demonstrations for tenders
    • Manage CSR-related aspects of tenders
  • Administrative & Sales Support:
    • Document tender progress in CRM (MS Dynamics)
    • Adjust opportunities and quotations for tender pricing requests
    • Monitor tenders until acceptance
    • Serve as a liaison between various business units
    • Support sales teams with special pricing requests, including TPS sheet preparation
  • Pipeline & Reporting:
    • Oversee pipeline management, ensuring efficient tracking and control
    • Generate reports and provide insights on tender performance

 

What we look for:

  • Education & Experience:
    • Commercial or trading background with extensive experience in tender management
    • Minimum 5 years in a similar role
    • Specialist knowledge in public tenders (VOL, VOB, public procurement law)
  • Skills & Competencies:
    • Fluency in German, with strong English communication skills
    • Strong internal assertiveness and ability to communicate clearly and factually
    • Deep understanding of internal and external sales processes
    • Solid business management knowledge
    • Experience with Word, Excel, Outlook, MS Dynamics, and SAP (preferred)
  • Certifications (Preferred)
    • Project Management Certification (IPMA Level D or higher / PRINCE2 Foundation or higher)
